Exhibitor / Vendor Information

Participants are responsible for their own insurance and are encouraged to review their coverage with their present representative. Exhibitor Hours

Thursday, July 3  12 pm – 6 pm
Friday, July 4      10 am – 6 pm
Saturday, July 5  10 am – 5 pm
Sunday, July 6    10 am – 2 pm

Exhibitors are required to exhibit during all scheduled hours on all four days of the Festival.

Early break-down or closing of an exhibitor’s booth on any day of the Festival is not permitted and exhibitors failing to observe this requirement may not be eligible to participate in future Festivals.

Exhibitor Registration

  • set-up will occur between 12 pm – 8 pm on Wednesday, July 2, 2008
  • photo ID is required
  • there is no commission on exhibitor sales

Sheltered Booth Space

Some applicants for booth space (arts and crafts) will have the opportunity to locate in a sheltered area provided by the Festival. Early application for this sheltered space, if desired, is recommended.

Prime booth space will also be available by assignment outside the designated sheltered area. Exhibitors in this open space may install their own tents. Exhibitors choosing to display in the open accept the risk of inclement weather.

Booth Set-up

  • The basic fee for a standard 10’ x 10’ booth space is $100 total for the 4 day Festival. This fee has been reduced from $325 in the Festival’s inaugural year (2008 only) thanks to the support of the Madoc Chamber of Commerce. Artists will not be provided with a standard booth set-up: only a 10’ x 10’ space.
  • The basic fee of $100 is for booth space only. Booth table, furnishings and set-up are not included. Electrical power is available to booths in designated sheltered areas, but electricity is supplied at additional cost.
  • Booth assignments are made at the discretion of the Festival. Please notify the Festival in advance of any Special Needs for a particular booth location.

Exhibitor Facilities

  • Electricity will be available to exhibitors in designated sheltered areas for a reasonable fee
  • Exhibitors are responsible for collecting any applicable sales taxes
  • Exhibitors are responsible for establishing their own merchant accounts with Visa, MasterCard, American Express, etc.

Food and Refreshments

Exhibitors may bring their own food and refreshments, but there will be food vendors on the grounds. Alcohol is not permitted.

No Smoking In Sheltered Areas

All buildings and shelters are smoke-free.

Parking and Security

Parking for exhibitor vehicles and laminated exhibitor wrist bands will be provided. Overnight security is provided from Wednesday through Sunday.

Open Space Exhibitors

Participants exhibiting in the open are strongly encouraged to bring tarps to cover their property as a protection against heavy dew or rainfall. The Festival is not responsible for weather-damaged, vandalized or stolen exhibitor property left exposed in the open.
